Child Care Specialist

Mission: The Philadelphia Children's Alliance (PCA) is an independent non-profit organization that promotes healing and justice for sexually abused children in Philadelphia. Using a multidisciplinary approach, we collaborate with our partners in child protection, law enforcement, and medical and mental health services to provide forensic interviews, victim support and counseling services at the Philadelphia Safety Collaborative, a co-located child-friendly facility. We are committed to using best practices and we promote this model locally and nationally. 

 

Position Summary: Reporting to the Senior Project Manager/Office Manager, this position serves as the first point of contact with

families and individuals who enter PCA. The Child Care Specialist/Admin Assistant requires a warm and welcoming personality and the ability to engage challenging caregivers and children. The capacity to multi-task activities such as answering calls and announcing visitors to the appropriate team members while maintaining oversight of the waiting area is vital. A core function of the position is supervising children, of all ages, who are in the waiting area, while their caregiver interacts with team members in another part of the building. This role also ensures that the waiting area is clean and neat and fully stocked with the necessary supplies. This is a high-paced position that requires alertness and attention to detail.


 

Responsibilities:

  • Greet all families/visitors to PCA in a warm and welcoming manner, ensuring their comfort (as much as possible) while they are in the waiting area.
  • Notify appropriate team members of families’/visitors’ arrival immediately or as soon as possible.
  • Supervise all children in the PCA waiting area absent the presence of their caregiver(s):
  • Invite children to use available age-appropriate toys and activities.
  • Play appropriate movies/shows.
  • Provide snacks and juice as needed after checking with caregivers for allergies.
  • Assist children with entering the bathroom as needed.
  • Engage children who are waiting for their caregiver to return.
  • Model effective redirection for caretakers when necessary.
  • Ensure the safety of all children while in the waiting room .
  • Do not leave children or families unattended in the waiting area; call Manager of Intake or Lead Intake Coordinator for relief when needed outside of lunch break.
  • Responsible for organization of the waiting area and front desk including but not limited to daily pickup of toys and books, organizing of toys and games and maintaining a visually appealing environment.
  • Ensure the coffee bar is cleaned throughout the day and stocked with coffee/tea/hot chocolate and condiments.
  • Ensure that snacks are stocked for distribution to children in the waiting area.
  • Notify Senior Project Manager and Manage of Intake when any supplies are low.
  • Ensure that toys, games, activities and furniture are clean and working condition. Report nonuseable items to Senior Project Manager for disposal.
  • Create Victim Services folders for families as needed.
  • Ensure files are organized and in the proper location according to the date seen and last name of client.
  • Assume primary responsibility for answering telephones and checking the general voice mailbox every morning and throughout the day.
  • Disposal/shredding of confidential client information.
  • Assistance with mailings as needed.
  • Additional administrative tasks assigned.


Education and Requirements:

  •  High School degree or equivalent.
  • Familiarity with the dynamics of sexual abuse and child abuse reporting requirements in Pennsylvania.
  • Experience working with children.


Special Skills:

  • Excellent written and oral communication skills.
  • Excellent interpersonal skills and telephone communications.
  • Friendly and pleasant personality.
  • PC literacy including basic knowledge of Word for Windows, spreadsheet applications and database functions.
